Rental Billing — rent and electricity, calculated for you

Send the meter reading and RentStalk builds the bill: rent, electricity from units consumed, and fixed charges — itemised, in your tenant's language, delivered on WhatsApp.

What is rental billing software?

Rental billing software calculates what a tenant owes for the period — rent, electricity from meter readings, and fixed charges — and produces an itemised bill. RentStalk stores each unit's previous reading, so you send one number and the bill assembles itself.

  • Electricity computed as (current reading − previous reading) × your rate
  • Previous readings stored per unit, so nothing is re-entered
  • Rent, electricity and fixed charges combined into one itemised bill
  • Delivered on WhatsApp in the tenant's own language
  • Receipt generated automatically once the payment is verified

What rental billing covers

Meter-based electricity

Send one reading; units and amount are worked out against the last one. Try the free rent + electricity calculator.

Rent and fixed charges

Maintenance, society or water charges are added on every cycle automatically.

Itemised bills tenants can check

Readings, units, rate and each charge shown separately — see rent with electricity.

Runs every cycle on its own

The billing cycle repeats without you starting it — see rent collection.

Receipts and history

A receipt per verified payment, stored in the tenant's billing history.

Bills in their language

English, Hindi, Hinglish, Haryanvi, Bhojpuri, Marathi and Kannada.

Why rent bills cause arguments

The rent itself is rarely disputed — it was agreed in advance and does not change. What gets questioned every month is the electricity line, because it moves, and because the tenant usually receives a single total with no working shown.

An itemised bill removes the argument entirely. When the tenant can see the previous reading, the current reading, the units and the rate, they can check the figure against the meter on their own wall. There is nothing left to dispute.

The part landlords get wrong is the previous reading

Calculating one bill is easy. The difficulty is remembering, next month, what the meter said this month — for every unit. That number is what turns a five-minute job into an hour of hunting through old messages and photographs.

RentStalk keeps the previous reading for each unit, so the next cycle needs one number from you and nothing else. That single stored value is most of what billing software actually buys a small landlord.

If electricity is already included in your rent there is no reading at all, and the bill does not need you either — see automatic rent billing.

Billing without a spreadsheet or a PDF

A spreadsheet can do the arithmetic but cannot deliver the bill, and a PDF invoice assumes your tenant will open an attachment on a phone — many will not, and those who do rarely keep it.

Sending the bill as a readable WhatsApp message in the tenant's own language removes both problems. The full flow is described in WhatsApp rent management.

How rental billing works

  1. Set the rent and fixed charges once

Tell the agent each unit's rent, any society or maintenance charge, and the billing cycle. It stores them so you never re-enter them.

  2. Send the meter reading each cycle

Message the current electricity reading. The agent works out units consumed against the previous reading and applies your per-unit rate.

  3. Let the bill generate

Rent, electricity and fixed charges are added into one bill with a clear breakdown, so the tenant can see exactly how the total was reached.

  4. Send it on WhatsApp

The bill goes to the tenant in their own language, in the chat they already use — no PDF attachment they have to open, no app to install.

  5. Verify payment and issue the receipt

When the tenant reports payment, you verify it and a receipt is generated instantly and stored in the tenant's billing history.

Stop doing meter maths by hand

Send one reading a month. RentStalk builds the itemised bill and delivers it in your tenant's language.

Rental billing FAQs

What is rental billing software?

Rental billing software calculates what each tenant owes for a period and produces the bill. For Indian rentals that usually means rent plus electricity based on meter readings, plus any fixed charges such as maintenance or water. Good billing software keeps the previous reading, does the arithmetic, and sends the bill with a breakdown so the tenant can check it.

How is electricity calculated in a rent bill?

Units consumed are the current meter reading minus the previous reading. Multiply that by your per-unit rate to get the electricity amount, then add it to the rent and any fixed charges. RentStalk stores the previous reading for every unit, so you only send the new one and the calculation happens automatically.

Can I send rent bills on WhatsApp?

Yes. RentStalk sends the bill into the tenant's WhatsApp chat with a full breakdown — rent, electricity units and amount, and any fixed charges — in the tenant's own language. There is no attachment to open and nothing for the tenant to install.

Do tenants dispute bills less when there is a breakdown?

Most bill disputes are really questions about the electricity portion. Showing the previous reading, the current reading, the units consumed and the rate turns an argument into something the tenant can verify themselves against their own meter, which is why an itemised bill matters more than a rounded total.

Does RentStalk generate rent receipts too?

Yes. Once you verify a payment, a receipt is created immediately and kept in that tenant's history. There is also a free rent receipt generator on the site, including HRA details, which works without an account.

Can I bill multiple tenants across different properties?

Yes. Every unit has its own rent, charges and meter history under one account, so billing runs per unit while you stay in a single place. You can ask for the billing status across all properties in one question.
