What WhatsApp message templates should a landlord save?
Five: a rent reminder before the due date, a welcome message for a new tenant, an overdue follow-up, a payment confirmation with the receipt, and a notice to every resident at once. All five are below, free to copy. But a template is a message you still have to remember to send, pick a tenant for and fill in — so with RentStalk four of the five are sent automatically on the official WhatsApp Business Platform, with that tenant's own rent, units and total already in them. The maintenance acknowledgement is the one that genuinely stays manual.
- Five templates below in English and Hinglish — copy them, free
- Rent reminder, welcome, overdue follow-up and receipt: automated
- Maintenance acknowledgement: manual, because there is no complaint tracking here
- Sent on the official WhatsApp Business Platform, not from a personal number
- Figures are filled in per tenant — rent, units consumed, total, due date
- One announcement reaches every tenant without creating a group
- Delivery recorded per message; no 256-contact broadcast cap
The five messages, and who sends them
Rent reminder
Automatic, with the real amount and due date, until it is paid.
New tenant welcome
Goes out within seconds of you adding them. Nothing to send.
Overdue follow-up
Keeps going on its own, worded for the situation rather than pasted.
Payment confirmation
Sent the moment you confirm, with a numbered receipt attached.
Notice to everyone
One message, every tenant, no group, no number exposed.
Maintenance update
Still yours to send — we have no complaint tracking, and say so.
1. Rent reminder
English
Hi [Tenant name], your rent for [Month] is ₹[Amount], due on [Date]. This includes ₹[Rent] rent and ₹[Electricity] electricity for [Units] units. You can pay to [UPI ID] or scan the QR below. Reply here once you have paid and I will confirm it.
When: Two to three days before the due date. A reminder is a notification at this stage, not a complaint — keep the tone flat.
Hinglish
Namaste [Tenant name], [Month] ka kiraya ₹[Amount] hai, [Date] tak dena hai. Isme ₹[Rent] rent aur ₹[Units] unit bijli ke ₹[Electricity] shamil hain. [UPI ID] par bhej dijiye ya neeche QR scan kar lijiye. Payment ke baad yahin bata dijiyega, main confirm kar dunga.
When: Same timing. Most Indian tenants read Hinglish faster than formal Hindi or English.
What RentStalk sends instead: this message, built from that tenancy's own figures, without you opening anything. Where electricity is included in the rent the bill is raised automatically too; where there is a meter you send one reading and the rest follows. See automatic rent billing.
The thing most reminder templates get wrong is leaving out the number. A message that says "your rent is due" makes the tenant ask what they owe, and now it is a conversation instead of a payment. Put the amount, the breakdown and the way to pay in the first message.
2. Welcome message for a new tenant
English
Welcome to [Property name], [Tenant name]. Your room is [Unit]. Rent is ₹[Rent] a month, due on the [Due day]. Electricity is [included in rent / charged at ₹[Rate] per unit]. Wi-Fi: [network] / [password]. For anything you need, message this number — your bills and receipts will come here too.
When: The day they move in, before they have to ask anyone anything.
Hinglish
[Property name] mein aapka swagat hai, [Tenant name]. Aapka kamra [Unit] hai. Kiraya ₹[Rent] mahina, har mahine [Due day] tareekh tak. Bijli [kiraye mein shamil hai / ₹[Rate] prati unit lagegi]. Wi-Fi: [network] / [password]. Kuch bhi chahiye to isi number par message kar dijiye — bill aur rasid bhi yahin aayenge.
What RentStalk sends instead: the moment you add a tenant, they get their own message with their terms on it — no app to install and no account to create. A whole building can be added in one pass; see adding tenants in bulk.
3. Overdue follow-up
English
Hi [Tenant name], [Month]'s rent of ₹[Amount] was due on [Date] and is still showing as unpaid. If you have already sent it, reply here with a screenshot and I will check. If something has come up, tell me what date works and we will sort it out.
When: Two to three days after the due date, then weekly. Give them a way to say they are struggling — the alternative is silence, and silence is how a month becomes three.
Hinglish
[Tenant name] ji, [Month] ka ₹[Amount] kiraya [Date] ko due tha, abhi tak paid nahi dikh raha. Agar bhej diya hai to screenshot bhej dijiye, main check kar leta hoon. Agar koi dikkat hai to bata dijiye kis tareekh tak ho payega, mil ke nikal lenge.
What RentStalk sends instead: follow-ups continue on their own until the bill is settled, and the wording of an overdue nudge is composed for that specific situation rather than pasted. You can see which reminders went to which tenant and when — see rent collection.
4. Payment confirmation and receipt
English
Received, [Tenant name] — ₹[Amount] for [Month]. Your receipt number is [Receipt no.] and it is attached. [Month] is now fully settled. Thank you.
When: The same day the money lands. A confirmation that arrives a week later has already been replaced by the tenant asking you whether it arrived.
Hinglish
Mil gaya [Tenant name] ji — [Month] ka ₹[Amount]. Rasid number [Receipt no.] hai, saath mein bheji hai. [Month] ka hisaab poora ho gaya. Dhanyavaad.
What RentStalk sends instead: you confirm the money arrived and the confirmation and a numbered receipt go out immediately, with the amount written to your income record. Nothing is marked paid on the tenant's word alone. See rent receipts.
5. Notice to every resident
English
Dear residents of [Property name], [what is happening] on [Date], between [Start] and [End]. [What you need to do, if anything.] Sorry for the inconvenience, and thank you.
When: As early as you know. A water cut announced the same morning is not an announcement, it is an apology.
Hinglish
[Property name] ke sabhi residents ke liye — [kya ho raha hai] [Date] ko, [Start] se [End] tak. [Jo karna hai, agar kuch hai.] Asuvidha ke liye khed hai, dhanyavaad.
What RentStalk sends instead: say the notice and pick the properties, and every tenant in them gets it individually. No group is created, nobody sees anyone else's number, and before it sends you are shown who will receive it and who will be skipped with the reason for each. See tenant announcements.
6. Maintenance acknowledgement — this one stays yours
English
Got it, [Tenant name] — [issue] in [Unit]. I am arranging someone and will tell you the day once it is fixed up. If it gets worse before then, message me.
When: Within the hour if you can. The acknowledgement is what stops the second and third message about the same tap.
Hinglish
Mil gaya [Tenant name] ji — [Unit] mein [issue] wali baat. Aadmi ka intezaam kar raha hoon, din pakka hote hi bata dunga. Beech mein zyada dikkat ho to message kar dijiyega.
This is the one template on the page that RentStalk does not send for you, and it is worth being straight about why: there is no complaint tracking in the product. No tickets, no status, no ownership, no maintenance history. A page arguing that templates are a symptom would be a poor place to quietly imply otherwise.
If structured complaint handling is what you actually need — a queue with owners and resolution times, and reporting on how fast staff close them — that is a PG operations product, and you should buy one for that part.
Why the official Business Platform changes what is possible
Most advice about WhatsApp for landlords skips the one distinction that decides whether any of it works at scale. A personal account, or the WhatsApp Business app, is a phone with a person tapping send. The WhatsApp Business Platform — the official API, which is what RentStalk runs on — lets a system send on your behalf.
That difference is the reason the four automated messages above can exist at all:
- No recipient cap — a broadcast list stops at 256
- Reaches tenants who never saved your number
- Delivery recorded per message
- Sends on a schedule, not when you remember
- An approved business sender, not an unknown number
The broadcast-list point is the one that quietly costs landlords the most. A broadcast only delivers to people who have saved your number in their contacts, and most tenants never do. So the notice looks sent, reaches a fraction of the building, and the first you hear of it is someone standing at your door about a water cut they say nobody told them about.
Read receipts deserve one honest caveat. Delivery is recorded for every message, and read is recorded too — but only when the recipient has read receipts switched on, which is a privacy setting on their phone. No read mark means it was not observed, never that your tenant is ignoring you.
Templates, broadcast lists, or none of the above
| RentStalk | Saved templates | A WhatsApp broadcast list | |
|---|---|---|---|
| Who remembers to send it | Nobody has to | You, every month | You, every month |
| Rent reminders | Sent on their own until paid | Typed and sent by hand | Same message to everyone |
| Personalised with the real figures | Rent, units, total, due date — per tenant | You fill the brackets | No — one text for all |
| Reaches a tenant who never saved your number | Yes — official Business Platform | Yes, a direct chat does | No. Broadcasts silently skip them |
| Recipient limit | None | One chat at a time | 256 per list |
| Did it arrive | Delivery recorded per message | You scroll and check | You scroll and check |
| Payment confirmation and receipt | Issued automatically on confirmation | You type it, then make the receipt | Not possible |
| Risk to your number | None — approved business sender | Low | Bulk sending gets numbers blocked |
Saved templates are a real improvement on typing from scratch, and for maintenance updates they are still the answer here too. The column that does not survive contact with a building is the broadcast list: 256 contacts, no personalisation, and it quietly does not deliver to anyone who has not saved your number — which is most tenants.
A template is a thing you still have to remember
Saved templates genuinely help. They are faster than typing, they keep the wording consistent when more than one person sends messages, and the five above are yours whether or not you ever use RentStalk.
But every one of them still needs you to notice the date, open the chat, find the tenant, fill in the figures and press send — and then do it again for the second room, and the third. At ten tenants that is thirty messages a month before anybody has paid anything. The template made each message faster; it did not remove a single one.
That is the actual problem, and it is not a wording problem. Set the terms once and the messages send themselves with the right numbers in them — which is also why they stop being the same message. A reminder that names the amount, the units and the due date is not a template at all.
What replaces the templates
Set the terms once, per tenancy
Rent, due day, deposit and how electricity is charged. This is the only typing involved, and it happens once rather than every month.
The bill goes out as a message, not a template you send
On the due date cycle the tenant receives their own bill on WhatsApp — rent, society charges, units consumed, the total and your UPI details — with the figures already filled in.
Reminders continue without you
If it stays unpaid, follow-ups keep going. The wording of an overdue nudge is composed for that situation rather than pasted, and you can see what went to whom and when.
The tenant reports, you confirm
They pay by UPI or cash and report it on WhatsApp. Nothing is marked paid on their word alone — you confirm the money arrived.
The confirmation and receipt send themselves
The moment you confirm, the tenant gets the payment confirmation and a numbered receipt, and the amount is written to your income record.
Keep the templates. Stop being the one who sends them.
Set each tenancy up once and the bills, reminders, confirmations and receipts go out on their own, with the real figures in them.
WhatsApp templates for landlords — FAQs
What WhatsApp message templates should a PG owner or landlord save?
Five cover almost everything: a rent reminder before the due date, a welcome message for a new tenant, an overdue follow-up, a payment confirmation with the receipt, and a notice to every resident at once. All five are written out on this page, in English and Hinglish, ready to copy. The more useful question is which of them you should still be sending by hand — with RentStalk four of the five are sent automatically, with the real figures already in them.
What should a rent reminder message say?
Name the tenant, the month, the exact amount due and the due date, then give them a way to pay in the same message. A reminder without the figure forces the tenant to ask what they owe, and a reminder without a payment link forces a second message. Keep it short and neutral in tone — the first reminder is a notification, not a complaint. Send it two to three days before the due date.
Can I send rent reminders automatically on WhatsApp?
Yes, and that is the real answer to the template problem. RentStalk runs on the official WhatsApp Business Platform, so each tenant's bill and reminders go out on their own with their own figures, and continue until the bill is paid. You never open the template, pick the tenant or fill the brackets. Where electricity is included in the rent, even the bill itself is raised without you.
Is it safe to use a WhatsApp broadcast list for tenants?
It mostly does not work, which is worse than unsafe. A broadcast list only delivers to recipients who have saved your number — most tenants never do, so a notice can appear sent while reaching a fraction of the building, and you have no way to tell. Lists are also capped at 256 contacts, and bulk sending from a personal number is a common way to get that number restricted. An announcement sent through the official Business Platform has none of these limits, creates no group and never exposes one tenant's number to another.
What is the difference between WhatsApp Business API and a personal WhatsApp account?
A personal or WhatsApp Business app account is a phone with a person tapping send. The Business Platform — the official API — lets a system send on your behalf: messages reach tenants who never saved your number, there is no recipient cap, delivery is recorded per message, and the sender is an approved business rather than an unknown number. RentStalk works only through the official platform, which is why reminders can be automatic at all.
Can I send one announcement to all my tenants at once?
Yes. Tell the landlord agent the notice and which properties it applies to, and every tenant in those properties receives it individually on WhatsApp. No group is created and tenants cannot see each other's numbers. Before it sends you are shown exactly who will receive it and who will be skipped, with the reason for each — no phone number, onboarding incomplete, or no active lease.
Does RentStalk send maintenance or complaint updates?
No. There is no complaint tracking, no ticket status and no maintenance workflow in RentStalk, so the maintenance acknowledgement on this page is the one template here that genuinely stays manual — copy it and send it yourself. If structured complaint handling with ownership and status is what you need, that is a PG operations product, not this.
Can I tell whether my tenant actually got the message?
Delivery is recorded for every message sent, so you can see that a bill or reminder reached the phone rather than assuming it. Read status is recorded too, but only when the recipient has read receipts switched on — that is a privacy setting on their phone, so no read mark means it was not observed, never that it was not seen.
