For PG, hostel and building owners

Add up to 50 tenants in one go

Type a unit range to lay out the floor, set the charges and electricity terms once at the top, fill one row per room. Every tenant is created in a single submission and messaged on WhatsApp.

How do you add multiple tenants at once?

Open the property, tap Manage Tenants, then Add multiple. A grid appears with one row per unit. The terms the whole building shares — society charges, electricity, notice period, lock-in — are set once at the top; each row takes only the unit, name, phone, rent, deposit and billing start. Type a range like 111-120 and the rows appear numbered. One submission creates up to 50 tenants and messages each of them on WhatsApp.

  • Up to 50 tenants in a single submission
  • Shared terms typed once, not once per room
  • A range like 111-120 lays out ten rooms instantly
  • No CSV to format and no failed import to debug
  • A dropped connection never adds anyone twice
  • Works for a PG with electricity in the rent, or metered per room

What bulk tenant onboarding covers

One row per room

A grid, not fifty forms — and a unit range like 111-120 fills the rows for you.

Shared terms set once

Unit type, society charges, electricity, notice period and lock-in apply to every row, and are remembered for the next batch.

Safe to retry

Duplicate phones and taken units are caught before saving, and pressing Add again after a dropped connection never creates anyone twice.

Built for buildings

A fifty-room PG or hostel is one screen, not a day of data entry.

Straight into the monthly cycle

Everyone added is immediately billable — turn on automatic rent billing and the months run themselves.

Messages in their language

Tenants hear from RentStalk in English, Hindi, Hinglish, Haryanvi, Bhojpuri, Marathi or Kannada.

Why one-tenant-at-a-time breaks on a building

Adding a tenant is a small job. Adding forty is not forty small jobs — it is the same handful of fields typed forty times, of which most are identical every time. The society charge is the same. The electricity arrangement is the same. The notice period is the same. Only the room number, the name, the phone and the rent actually change.

That is the whole shape of the screen: the repeated part is lifted into a strip at the top and typed once, the room numbers are generated from a range, and what is left to type is the part that genuinely differs.

Why it is a grid and not a spreadsheet upload

A CSV import sounds faster and usually is not. You export a template, discover the column order matters, fix a date format, re-upload, and find out on row 23 that a phone number was stored as a number and lost its leading zero. The work moved rather than disappeared.

Filling the grid keeps every row visible while you type it. The same phone entered twice, or a unit already taken, is flagged against the row it clashes with — before anything is saved. And if the connection drops mid-submission, pressing Add again resumes rather than repeating: each batch carries its own key, so nobody is created twice.

Bulk onboarding for PGs and hostels

In most PGs the rent already includes electricity, which means there is no meter reading to take and every month's bill is the same figure. Set electricity to in-rent once in the shared strip, add the rooms, and turn on automatic billing — the monthly bill is created and sent on WhatsApp without you opening the app again.

Where rooms are separately metered, keep electricity metered and set the per-unit rate in the same strip. Each row then takes that room's current reading, and every bill after that is calculated from the month's units.

Who confirms what: your choice, made once

Rooms already occupied are a different job from rooms being let. So the batch has one switch: add these tenants directly, or invite them. Left on, each tenancy goes live the moment you save — you are entering details you already hold — and every tenant still gets a WhatsApp welcome. Turned off, each tenant instead receives their own onboarding link and confirms their details themselves before the tenancy becomes active.

Where the property is set to generate a rent agreement, tenants always confirm — there is a document to sign. Either way every tenant arrives attached to their own WhatsApp number, so every bill and reminder afterwards goes somewhere they actually read. See tenant management for what the record holds once they are in.

After the building is loaded

Once everyone is in, the month runs on its own: bills raised, reminders sent until rent arrives, payments verified and receipts issued. One announcement reaches every tenant across the properties you choose, so a water cut or a rule change is a single message rather than forty.

See rent collection for the cycle, and rent tracking for who has paid and who has not.

How bulk tenant onboarding works

  1. Open the property and tap Manage Tenants

From your property list, open the building you are filling. Everything you add lands under that property.

  2. Tap Add multiple

It sits beside the round add button at the bottom of the tenant list. That opens the grid instead of the one-tenant form.

  3. Set what every room shares, once

At the top: room or flat, society charges, whether electricity is metered with a per-unit rate or already in the rent, notice period and lock-in months. Set it once and it is copied onto every tenancy you create below.

  4. Create the rows — or type a unit range

Type 111-120 in the range box and all ten rows appear at once, numbered. Otherwise add rows one at a time, up to 50 in a submission.

  5. Fill only what differs per tenant

Unit, name, phone, rent, deposit, the current meter reading if electricity is metered, and the month billing starts from. Tab moves across the grid. Copy row 1's date down the column in one tap.

  6. Submit once

Every tenant is created in a single pass and each one gets their own WhatsApp message — a welcome if you added them directly, or an onboarding link to confirm their details if you did not.

Load the whole building in one pass

Set the shared terms once, lay the rooms out from a range, and submit. Every tenant hears from RentStalk on WhatsApp.

Bulk tenant onboarding FAQs

How do I add multiple tenants at once?

Open the property, tap Manage Tenants, then Add multiple. You get a grid with one row per unit. Set the terms every room shares at the top — society charges, electricity, notice period, lock-in — then fill each row with the tenant's unit, name, phone, rent, deposit and billing start. One submission creates all of them and messages every tenant on WhatsApp.

How many tenants can I add in one go?

Up to 50 rows in a single submission. A fifty-room PG or hostel is one screen rather than fifty separate flows, and you can submit again for a larger building.

Do I have to type room numbers one by one?

No. Type a range like 111-120 and those ten rows appear already numbered. It is the fastest way to lay out a floor, and you then fill in only the names and rents.

Do I have to type the same rent and charges for every room?

No. Unit type, society charges, electricity (metered with a rate, or included in the rent), notice period and lock-in are set once at the top and copied onto every tenancy. Only the unit, name, phone, rent, deposit, meter reading and billing start are typed per tenant. The strip is also remembered for that property, so your next batch on the same building opens already filled in.

Is this a CSV or Excel upload?

No, and deliberately so. There is no file to format, no column order to get right and no failed import to debug. You fill a grid on screen and see every row as you type it, so a wrong rent or a missing unit is obvious before anything is saved rather than after forty records exist.

What happens if I add the same phone or unit twice?

The row is flagged before anything is saved, naming the row it clashes with — one number cannot hold two tenancies in the same property, and a unit cannot be taken twice. If some rows still fail on save, the ones that worked stay saved and only the rest come back for a fix.

What if my connection drops halfway through adding 50 tenants?

Press Add again. Each batch carries its own key, so a retry picks up where it left off instead of creating anyone a second time. That is the failure a spreadsheet import handles worst and it is handled here by design.

Do bulk-added tenants confirm their own details?

That is your choice, set once for the batch. Leave 'add these tenants directly' on and each tenancy goes live on save — right for details you already hold — and every tenant still gets a WhatsApp welcome. Turn it off and each tenant instead gets an onboarding link, confirming their own details before the tenancy becomes active. If the property is set to generate a rent agreement, tenants always confirm, because they have to sign.

Can I bulk add tenants for a PG or hostel where electricity is included in the rent?

Yes, and that is the common case. Set electricity to in-rent once in the shared strip and no meter reading is asked for on any row. Each monthly bill is then a fixed figure, which is exactly what automatic rent billing is built for.

Can I bill a tenant who moved in before today?

Yes. Each row has a billing-from month, and a per-row option to also create the bills from that earlier date. Leave it off and billing simply starts this month.

What if one room has different terms from the rest?

Fill what the building shares at the top, add everyone, then edit that one tenancy afterwards. Shared terms are copied onto each tenancy at the moment of saving, so changing them later never re-prices a tenant who is already in.

Do other rental apps have bulk tenant upload?

Most PG and rental apps either take one tenant at a time or ask for a formatted CSV. The first is slow for a building; the second moves the work to getting a spreadsheet right. RentStalk does it as a grid you fill on screen, with the shared terms lifted out so they are typed once and unit numbers generated from a range.
