What is a PG management app?
A PG management app keeps rooms, beds and occupants on record, calculates rent and electricity per occupant, sends bills and reminders, records payments and receipts, and publishes beds as they fall vacant. RentStalk does this inside WhatsApp, so neither the owner nor the occupants install anything.
- Each bed is its own record, so sharing rooms can hold different rents
- Electricity worked out from meter readings and split between occupants
- Bills and reminders sent automatically in the occupant's language
- Payments verified and receipts generated as PDFs
- A free bed becomes a public listing, and the PG gets its own page
- One announcement reaches every occupant at once
What the PG management app does
Rooms, beds and who is in them
Sharing rooms held as separate beds, each with its own occupant, rent and joining date. More on tenant management.
Rent and electricity per bed
Send the meter reading and the agent computes units and cost. Try the rent + electricity calculator.
Bills and reminders that chase themselves
Bills go out each cycle, reminders follow up while it stays unpaid. See rent collection.
Payments verified, receipts issued
Confirm cash or online payment and the receipt is generated instantly. See rent tracking.
One message to every occupant
Announcements reach everyone in a property at once — tanker timings, maintenance, rule changes — and you keep a copy of what was sent.
A public page for your PG
Your PG gets a permanent, shareable page with locality, rent range and availability. Post a vacancy free.
Why PG billing is harder than flat billing
A flat is one tenant, one rent, one due date. A PG is nothing like that. Six people in three rooms, each joining on a different date, each on a different rent depending on whether they share or have the room to themselves — and one electricity meter covering all of them.
Most rental software models a property as a unit with a tenant in it. Put a triple-sharing room into that model and it breaks: you either create three fake rooms, or you bill one person and split the money by hand. Both end in a notebook.
The saving grace is that a PG rent rarely changes once it is agreed, and electricity is usually already inside it. That makes the monthly bill the same number every month, which is why automatic rent billing takes most of the work off a PG owner entirely.
Beds, not rooms
RentStalk records a bed as the thing that gets rented. A triple-sharing room is three beds, each with its own occupant, rent, joining date and bill. When one person leaves, that bed goes vacant while the other two carry on undisturbed.
Electricity follows the same logic. One reading covers the meter; the cost is worked out from the units consumed since last month and divided between the occupants sharing it. Everyone sees the same arithmetic on their own bill, which is what stops the monthly argument.
The empty bed is the real cost
A bed empty for a month is a month of rent gone, and PG occupants turn over far faster than flat tenants. The gap is usually not demand — it is that nobody knew the bed was free.
Telling the agent a bed is vacant publishes it as a public listing straight away, and your PG's own page shows what is available with the rent range and locality. Someone searching your PG by name finds it and messages you directly. There is no brokerage and no listing fee, and your number stays private until you choose to share it.
Why WhatsApp and not an app to install
PG occupants are usually students and people in their first job. They will not install a rental app, and they will not remember a password for one. Any tool that asks them to do either ends up unused, and the owner goes back to chasing rent in a group chat.
Bills, reminders and receipts arrive on WhatsApp, in the language they read — English, Hindi, Hinglish, Haryanvi, Bhojpuri, Marathi or Kannada. Nothing to learn on either side. The web dashboard is there when you want the wide view of every property at once.
Setting up your PG
Message the landlord agent on WhatsApp
No download, no signup form, no password. Your WhatsApp number is the account, and the first reply already knows what to ask for.
Add the PG and its rooms
Name the PG, the locality and the rooms or beds. Sharing rooms are added as separate beds, so a triple-sharing room is three records, not one.
Add each occupant with their own rent
Two people in the same room can pay different rent, and that is normal in a PG. Each gets an onboarding link and confirms their own details.
Run the month from chat
Send the meter reading, the agent works out rent plus electricity per bed. Bills go out, reminders follow up, payments get verified, receipts are generated.
Post a vacancy the moment a bed frees up
Say "Room 7 bed 2 is vacant". It becomes a public listing tenants can find, with a shareable page for the PG itself.
Run your PG from the chat you already use
Add your rooms and beds in a few minutes. Billing, reminders and receipts start with the first cycle.
PG management questions
What is a PG management app?
A PG management app keeps a paying-guest property running: rooms and beds on record, who occupies which bed, rent and electricity for each occupant, bills and reminders, payment records and receipts, and which beds are free. RentStalk does all of that inside WhatsApp, so neither the owner nor the occupants install anything.
Can it handle sharing rooms where each person pays differently?
Yes. Each bed is its own record with its own rent, so a double-sharing room can hold two occupants at two different rents, joining and leaving on different dates. Billing, reminders and receipts are per occupant, not per room.
How is electricity split between PG occupants?
Send the meter reading and RentStalk works out the units consumed since the last reading and the cost at your per-unit rate. Where one meter covers several occupants the amount can be split equally between them, so nobody argues about who used what.
How do occupants find out their rent is due?
The bill goes to them on WhatsApp in their own language, with the rent, electricity and total broken out. Reminders follow on their own if it stays unpaid, so the owner is not chasing anyone by hand.
Can I tell every occupant something at once?
Yes. Announcements let you pick one or more properties, type a message once, and every onboarded occupant in them receives it on WhatsApp. You get a copy of what was sent, so your own chat is the record — useful for water-tanker timings, a maintenance visit or a rule change.
How do people find my PG when a bed is free?
Marking a bed vacant publishes it as a public listing, and your PG also gets its own permanent page with the locality, rent range and availability. Both are indexable, so someone searching your PG by name can reach it and message you directly — no brokerage, no listing fee.
Is there a free PG management app in India?
RentStalk is free to start and there is no per-bed pricing. A PG owner with eight beds gets the same billing, reminders, receipts and vacancy tools as one with eighty.
