Tenant Management — every tenant on record, without a spreadsheet

Keep every tenant's unit, rent, dues, payment history and receipts in one place. Onboard new tenants over WhatsApp, look any of them up by name or room number, and let the record build itself each month.

What is tenant management software?

Tenant management software keeps each tenant's unit, rent, contact details, payment history and receipts in one connected record, and links it to the billing that runs every month. RentStalk does this over WhatsApp, and tenants confirm their own details.

  • One record per tenant: unit, rent, due date, contact, history
  • Tenants onboard themselves through a WhatsApp link
  • Payment history and receipts accumulate automatically each cycle
  • Look up any tenant by name or room number and get a full answer
  • Move-out keeps the history and frees the unit for a new tenant

What tenant management covers

Self-serve tenant onboarding

Send a WhatsApp link and the tenant confirms their own details. See adding and onboarding a tenant.

Tenant records per unit

Every tenant is tied to a property and unit, so nothing is ambiguous later.

Payment history that writes itself

Each verified payment and receipt is stored against the tenant — see receipts and history.

Move-in and move-out

Mark a unit vacant when a tenant leaves; the past record stays and the room can be listed for new tenants.

Agreements and receipts

Generate a rent agreement or a rent receipt free, no signup.

Communication in their language

Tenants read bills and reminders in the language they actually use.

Why tenant records fall apart

Most landlords do keep records — they are just spread across a notebook, a phone's contacts, a WhatsApp chat and a folder of photographed receipts. Each piece is fine alone. The problem appears when you need them together: what exactly did Room 4 pay in August, and can you show it?

That question is hard to answer not because the information is missing, but because nothing connects the tenant to the payment to the receipt. Tenant management software's real job is holding those links.

Let the tenant do the data entry

Typing a tenant's name, phone number and details yourself is slow and introduces typos in exactly the field you cannot afford to get wrong — their phone number. RentStalk sends the tenant a WhatsApp onboarding link instead, and they confirm their own details.

The side effect matters: because the tenant arrived through their own WhatsApp number, every later bill and reminder is guaranteed to reach a number they actually use.

Tenant management for multiple properties

Once you pass one building, per-property lists stop being useful — you start needing portfolio-level answers. Which tenants are unpaid this month across everything? Whose invite is still pending? Which rooms are empty right now?

Because every tenant sits under one account, those are single questions rather than a round of manual checking. More on managing multiple properties, and on tracking rent across them.

How to manage tenants on RentStalk

  1. Add the tenant to a unit

Tell the agent the tenant's name, which unit they are taking, the rent and the due date. The record is created against that property.

  2. Send the onboarding link

The tenant gets a WhatsApp link and confirms their own details. You are not typing their phone number and documents in yourself.

  3. Keep the tenancy running from chat

Bills, reminders, payment verification and receipts all happen against that tenant record, so the history builds itself month by month.

  4. Look up any tenant instantly

Ask the agent for a tenant by name or room number and get their rent, dues, payment history and contact in one reply.

  5. Handle move-out and replacement

Mark the unit vacant when they leave. The past tenant's record stays intact, and the empty room can be listed for new tenants.

Put every tenant on one record

Add a tenant, send the onboarding link, and let the monthly cycle keep the history for you.

Tenant management FAQs

What is tenant management software?

Tenant management software stores everything about each tenant in one place — which unit they occupy, their rent and due date, contact details, payment history, receipts and tenancy dates — and connects that record to the billing and reminders that run every month. It replaces scattered notes, chat scrollback and a spreadsheet of names.

How do I keep tenant records without a spreadsheet?

Add each tenant once against their unit, and let the monthly cycle write the history for you. Every bill sent, payment verified and receipt issued is stored against that tenant automatically, so the record is a by-product of running the month rather than a separate data-entry job.

Can tenants confirm their own details?

Yes. When you add a tenant, RentStalk sends them a WhatsApp onboarding link where they confirm their information themselves. That removes the typing from your side and means the contact details are the ones the tenant actually uses.

How do I manage multiple tenants across different properties?

All tenants sit under one account, grouped by property and unit. You can ask for one property's tenant list, or ask a portfolio-wide question such as who has not paid this month, and get a single consolidated answer.

What happens to the record when a tenant moves out?

The tenancy record and its payment history are kept. You mark the unit vacant so it shows as available, and the room can be listed for new tenants while the old record remains available for reference or disputes.

Is there tenant management software in Hindi?

Yes. RentStalk works in English, Hindi, Hinglish, Haryanvi, Bhojpuri, Marathi and Kannada. Tenants receive their bills, reminders and receipts in the language they read, which reduces the back-and-forth that comes from misread messages.
